Paviors RFC Communications Policy
Introduction
This policy is designed to outline the manner in which all members of Paviors RFC should communicate at all times when corresponding using any medium to any person on Paviors RFC related matters.
⦁ No new Pavior’s sites or communications channels of any description may be set up for the purpose of communicating on any matter related to Paviors RFC without the authorisation of the Board.
⦁ No new Paviors sites should be set up as extensions to personal sites they should always be set up as dedicated Paviors sites and authorised as above.
⦁ All account details including passwords will be held centrally by the Club Secretary who is the only person authorised to change details
⦁ Official Paviors social media channels must not be used to advertise any matters which are not directly related to the business of Paviors RFC without first obtaining the prior authorisation of the Board. This applies in all circumstances even where members of Paviors RFC are engaged in those matters e.g., participation in fund raising activities for charities.
Paviors’ Commitment
Communication utilising electronic communication channels is essential for sharing Club news and information with our members. Pavior’s communications will be timely, appropriate and related directly to Club business and activities.
What Paviors will do
Paviors will use a range of electronic tools as a means of communication with our members.
Communications will at all times protect member’s privacy and maintain clear boundaries to ensure as far as reasonably possible, that bullying and harassment does not occur.
The communications group will appoint administrators to provide accountability and control over material published in newsletters, on the Club website, mobile applications, and any discussion groups such as Facebook, YouTube, Instagram and Twitter.
Details of the administrators can be found in Schedule 1 to this document.
Paviors’ Website
The Paviors’ website will include current information throughout the year.
It will contain match fixtures, match reports, club news, future events along with material that can be found on the Club’s social media sites.
The website will also contain acknowledgements regarding Paviors’ sponsors.
No offensive content or photos will be published and the administrator will have authority to exercise discretion regarding Website content.
SMS and Email
The Club will always use RFU GMS as the preferred method of sending emails to members.
Paviors’ administrators and members may use SMS and email which are not Pavior’s accounts (along with other specific apps such as SPOND) to provide notifications about fixtures, training, Club sanctioned social events and other Pavior’s business. When used:
⦁ SMS messages should be short and about Club/team matters
⦁ Email communication should be used when more detailed information is required
Coaches and team managers may use SMS and Email to provide information to their teams about fixtures, training, Club sanctioned social events and other Pavior’s business, however,
⦁ There should be no direct electronic communication with a child
Coaches and others who need to communicate with a child should (a) direct the communication through the child’s parents/guardians or (b) include the child’s parents/guardians, a coach/manager or other team officials in any communication with a child.
Social Media Sites
Paviors will treat all postings on any social media site as public comment.
All postings, whether in writing, photographic or video should be family friendly and feature positively Club news and events.
No personal information about Club members should be disclosed other for the purposes described in Section 7 below.
No statements should be made that are misleading, false or likely to injure a person’s reputation.
Abusive, discriminatory or offensive statements will not be tolerated. Administrators will have the authority to remove any offending posts and those responsible will be blocked from future usage of the site.
Pavior’s Facebook page will be open to the public and anyone can post or add photos and videos to the page’s timeline. Posts will be subject to moderation by the Club’s administrators who will have the right to ban/block users from the Facebook page for inappropriate postings that might harass, offend, intimidate or humiliate any other person or organisation.
Photographs
When becoming members of Paviors RFC, members consent to the Club using their name or image (including photographs) in any form or medium for general marketing and promotion of the Club.
If a member does not wish to consent to their image being used in any form or medium to be used for general marketing and promotional activities, they should advise the Club on the membership form or alternatively advise the Club Secretary.
Paviors Member’s Obligations
The Club expects members to conduct themselves properly when using electronic communication to share information with other members or posting material on public websites connected to the Club.
All Electronic Communication:
⦁ Should be restricted to Club matters
⦁ Must not offend, intimidate, humiliate or in any way bully another person
⦁ Must not be misleading, false or injure the reputation of another person
⦁ Should respect and maintain the privacy of all other members
⦁ Must not bring the Club into disrepute
⦁ At all times reflect the game’s values.
Failure to Comply with Club Policy
Members may face disciplinary action for sending inappropriate electronic communications that fail to comply with the Club Communications Policy as outlined above.
Members should be aware that certain actions such as cyber bullying constitute a criminal offence which may be reported to the Police. In addition, members who publish false or misleading information about a person may find themselves liable for defamation and potential civil prosecution.

HEALTH AND SAFETY POLICY
General:
In compliance with the requirements of Section 2 (3) of the Health & safety at Works (etc.) Act 1974, the club will, as far is reasonably practicable, safeguard the health, safety and welfare of all personnel employed, using or visiting the club grounds and facilities.
The Club is committed to:
Provide adequate control of the health and safety risks arising from its activities. Consult with its helpers and users on matters affecting their health and safety. Provide and maintain safe equipment for use in pursuance of its activities.
Ensure the safe handling and use of substances i.e. COSHH regulations.
Provide information, instruction and supervision for helpers and users where applicable.
Ensure all helpers and users are competent to do their tasks and to give them training.
Minimise the risk of accidents occurring.
Maintain a safe and healthy operating environment; and Review and revise this policy as necessary at regular intervals.
Responsibilities:
The Club President, Chairman, Secretary, Committee Members and all team managers/coaches are responsible for ensuring that:
- The Club’s Health & Safety Policy is implemented and that, as far as is reasonably practicable a safe operating environment exists in their areas of operation.
- The activities carried out in their areas of operation are conducted in such a manner as to minimize the risk to health and safety.
In compliance with Section 7 of the Act all Helpers, Users and visitors have an obligation to take reasonable care for health and safety of themselves and other persons who may be affected by their actions and co-operate with the Club to enable any such duty to be complied with:
All personnel must:
- Observe all safety rules.
- Abide by instructions issued in the interest of minimizing risks to health and safety.
- Report any hazardous situation to the Club Secretary who in turn shall advise the committee.
Co-operate in suggesting to the Club Secretary any improvements that could be made to minimize risks to health and safety Attached to this appendix is a generic Risk assessment for playing and training. Coaches are to ensure that specific dynamic risk assessments are carried out prior to training to account for conditions.

Paviors Social Media Policy
It is recognised that Social Media is embedded within our culture and everyday practice, however it is essential that in the same way Paviors RFC has a responsibility for the physical safety of the children, young people and vulnerable adults when visiting the club’s premises, the club must also ensure that the same protection is afforded when using social networking methods of communication.
Club Website
Paviors RFC is legally and morally responsible for the content of its website. Paviors RFC will nominate a designated person to oversee the content of the website and ensure that there is no abusive or inappropriate content (photos, video or text) placed on the site itself which may cause distress or harm a child, directly or indirectly.
Photos and video
Photos and video clips can make any child featured vulnerable to grooming and place them at risk of becoming a victim of Child Sexual Exploitation, if information about the child (name, address, activities or interests) is also disclosed. Furthermore, posting an image on the website carries a risk that the image could be taken and adapted for an inappropriate use. It is essential that parental permissions are gained before any photographic image of a child or young person is placed on the website or group social media site.
Special consideration must be given to Looked after Children who may be placed at risk if their image is placed on a social network site. Permission must be sought from their parents/carer’s and the Local Authority (where applicable) that is responsible for their welfare.
Mobile and on-line communication with children
On-line communication can be defined as email, instant messaging or social networking sites. The following rules are enforced by Paviors RFC:
- When communicating by phone, where possible Club Officials and coaches should speak to the parent or carer of the child or young person.
- Club Officials and coaches should not communicate with individual children by text or on-line at any time, on any matter, unless there is an immediate risk to the welfare of that child which can be lessened by such contact.
- If a club needs to communicate club-related information to children by email (such as training or match details), it should use email groups comprising of email addresses given by parents. It is inadvisable for a coach to communicate by email on a one-to-one basis with a child; if replying to an email from a child the parent should be copied in to the response.
- Coaches and Club Officials should not individually communicate with children through social networking sites such as Facebook, Snap chat, whatsapp. Coaches should not be “friends” with the children they coach and they should not comment on their status as this can open a coach up to allegations.
- It is recommended that if Facebook is used as a means to communication that a group/team site is set up and parents and the club Safe Guarding officer are invited to join the group. This will ensure complete transparency show the clubs commitment to its duty of care.

CLUB PRIVACY NOTICE
Summary of how we and the RFU use your data
⦁ Paviors RFC uses your personal data to manage and administer your membership and your involvement with its teams and club, and to keep in contact with you for these purposes.
⦁ Some data is shared with the RFU, who use your data to regulate, develop and manage the game.
⦁ Data is not shared with third parties unless specific permission is sought by Paviors RFC.
⦁ Where we or the RFU rely on your consent, such as any consent we seek for email marketing, you can withdraw this consent at any time.
⦁ Amongst the data we collect from you may be medical (including injury) information. We will hold this where you (or your parent) have given consent, so that we can ensure we are aware of your condition and can that you are supported appropriately.
⦁ Where you work/volunteer in a particular role within the game, you may be required to undergo a Disclosure & Barring Service check using the RFU’s DBS system. The result of this check will be input into your Game Management Service (GMS) record.
What does this policy cover?
This policy describes how Paviors RFC (also referred to as “the Club”, “we” or “us”) will make use of the data we handle in relation to our members and players, including our use of the Game Management System (“GMS”) provided by the Rugby Football Union (“RFU”). The policy also
describes the RFU’s use of data on GMS.
It also describes your data protection rights, including a right to object to some of the processing which we carry out. More information about your rights, and how to exercise them, is set out in the “What rights do I have?” section.
What information do we collect?
We collect and process personal data from you or your parent when you join and when we carry out annual renewals of your membership. This includes:
⦁ your name
⦁ your gender,
⦁ your date of birth,
⦁ your RFU ID (as assigned in GMS)
⦁ your home address, email address and phone number;
⦁ your passport and NI details, where we have to check your eligibility or ability to work for us;
⦁ your type of membership and involvement in particular teams, or any key role you may have been allocated, such as Chair, Safeguarding Lead, Membership Secretary etc.;
⦁ your payment and/or bank account details, where you provide these to pay for membership;
⦁ your marketing preferences, including any consents you have given us;
⦁ your medical conditions or disability, where you provide this to us with your consent (or your parent’s consent) to ensure we are aware of any support we may need to provide to you.
Some information will be generated as part of your involvement with us, in particular data about your performance, involvement in particular matches in match reports and details of any disciplinary issues or incidents you may be involved in on and off the pitch, such as within health and safety records.
What information do we receive from third parties?
Sometimes, we receive information about you from third parties. For example, if you are a child, we may be given information about you by your parents.
We may receive information relating to your existing registrations with other clubs or rugby bodies or disciplinary history from the RFU through GMS. Additionally, for certain role holders or those working with children, we may receive information from the Disclosure and Barring Service and RFU on the status of any DBS check you have been required to take.
How do we use this information, and what is the legal basis for this use?
We process this personal data for the following purposes:
⦁ To fulfil a contract, or take steps linked to a contract: this is relevant where you make a payment for your membership and any merchandise, or enter a competition. This includes:
⦁ taking payments;
⦁ communicating with you;
⦁ providing and arranging the delivery or other provision of products, prizes or services;
⦁ As required by the Club to conduct our business and pursue our legitimate interests, in particular:
⦁ we will use your information to manage and administer your membership and your involvement with its teams and club, and to keep in contact with you for these purposes;
⦁ we will also use data to maintain records of our performances and history, including match reports, score lines and team sheets;
⦁ [we use CCTV cameras to maintain the security of our premises, and may use this video to investigate incidents at the Club or its premises]
⦁ we use data of some individuals to invite them to take part in market research;
⦁ □ Where you give us consent:
⦁ we will send you direct marketing or promotional material by email;
⦁ we may handle medical or disability information you or your parent provides to us, to ensure we support you appropriately;
⦁ on other occasions where we ask you for consent, we will use the data for the purpose which we explain at that time.
⦁ For purposes which are required by law:
⦁ we maintain records such as health and safety records and accounting records in order to meet specific legal requirements;
⦁ we ensure, where you will work with children, that you have undergone an appropriate DBS check – this is also carried out with your consent.
⦁ where you hold a role at the Club requiring us to check your right to work, we may process information to meet our statutory duties;
⦁ we may respond to requests by government or law enforcement authorities conducting an investigation.
How does the RFU use any of my information?
The RFU provides GMS, but make its own use of the following information:
⦁ your name;
⦁ your gender;
⦁ your date of birth;
⦁ your RFU ID (as assigned in GMS);
⦁ your home address, email address and phone number; and
⦁ your type of membership and involvement in particular teams at the Club, or any key role you may have been allocated, such as Chair, Safeguarding Lead, Membership Secretary etc.
The RFU uses this information as follows:
⦁ As required by the RFU to conduct its business and pursue its legitimate interests, in particular:
⦁ communicating with you or about you where necessary to administer Rugby in England, including responding to any questions you send to the RFU about GMS;
⦁ administering and ensuring the eligibility of players, match officials and others involved in English rugby – this may involve the receipt of limited amounts of sensitive data in relation to disabled players, where they are registered for a disabled league or team, or in relation to anti-doping matters;
⦁ maintaining records of the game as played in England, in particular maintaining details of discipline and misconduct;
⦁ monitoring use of GMS, and using this to help it monitor, improve and protect its content and services and investigate any complaints received from you or from others about GMS;
⦁ maintaining statistics and conducting analysis on the make-up of rugby’s participants;
⦁ ensuring compliance with the current RFU Rules and Regulations including those on the affiliation of clubs, referee societies, constituent bodies and other rugby bodies, and registration of players; and
⦁ communicating with you to ask for your opinion on RFU initiatives.
⦁ For purposes which are required by law:
⦁ The RFU will ensure, where you will work with children and where this is required, that you have undergone an appropriate DBS check – this is also carried out with your consent. o The RFU may respond to requests by government or law enforcement authorities conducting an investigation.
Withdrawing consent or otherwise objecting to direct marketing
Wherever we rely on your consent, you will always be able to withdraw that consent, although we may have other legal grounds for processing your data for other purposes, such as those set out above. In some cases, we are able to send you direct marketing without your consent, where we rely on our legitimate interests. You have an absolute right to opt-out of direct marketing, or profiling we carry out for direct marketing, at any time. You can do this by following the instructions in the communication where this is an electronic message, or by contacting us using the details set out below in the “How do I get in touch with you or the RFU?” section.
Who will we share this data with, where and when?
In addition to sharing data with the RFU, we will not share your data with third parties unless specific permission is sought.
Some limited information may be shared with other stakeholders in rugby, such as other clubs, Constituent Bodies, referee societies, league organisers, so that they can maintain appropriate records and assist us in organising matches and administering the game.
Personal data may be shared with government authorities and/or law enforcement officials if required for the purposes above, if mandated by law or if required for the legal protection of our or the RFU’s legitimate interests in compliance with applicable laws.
Personal data will also be shared with third party service providers, who will process it on our behalf for the purposes identified above. Such third parties include the RFU as the provider of GMS and providers of Pitchhero, providers of Paviors RFC website.
Where information is transferred outside the EEA, and where this is to a stakeholder or vendor in a country that is not subject to an adequacy decision by the EU Commission, data is adequately protected by EU Commission approved standard contractual clauses, an appropriate Privacy Shield certification or a vendor's Processor Binding Corporate Rules. A copy of the relevant mechanism can be provided for your review on request.
What rights do I have?
You have the right to ask us for a copy of your personal data; to correct, delete or restrict (stop any active) processing of your personal data; and to obtain the personal data you provide to us for a contract or with your consent in a structured, machine readable format.
In addition, you can object to the processing of your personal data in some circumstances (in particular, where we don’t have to process the data to meet a contractual or other legal requirement, or where we are using the data for direct marketing).
These rights may be limited, for example if fulfilling your request would reveal personal data about another person, or if you ask us to delete information which we are required by law to keep or have compelling legitimate interests in keeping.
You have the same rights for data held by the RFU for its own purposes on GMS.
To exercise any of these rights, you can get in touch with us– or, as appropriate, the RFU or its data protection officer – using the details set out below. If you have unresolved concerns, you have the right to complain to the Information Commissioner’s Office.
Much of the information listed above must be provided on a mandatory basis so that we can make the appropriate legal checks and register you as required by RFU Rules and Regulations. We will inform you which information is mandatory when it is collected. Some information is optional, particularly information such as your medical information. If this is not provided, we may not be able to provide you with appropriate assistance, services or support.

How long will you retain my data?
We process the majority of your data for as long as you are an active member.
Where we process personal data for marketing purposes or with your consent, we process the data for [x] unless you ask us to stop, when we will only process the data for a short period after this (to allow us to implement your requests). We also keep a record of the fact that you have asked us not to send you direct marketing or to process your data indefinitely so that we can respect your request in future.
Where we process personal data in connection with performing a contract or for a competition, we keep the data for 6 years from your last interaction with us.
We will retain information held to maintain statutory records in line with appropriate statutory requirements or guidance.
The RFU will maintain records of individuals who have registered on GMS, records of DBS checks and the resulting outcomes and other disciplinary matters for such period as is set out in the RFU’s privacy notice to be set out on www.englandrugby.com.
Records of your involvement in a particular match, on team sheets, on results pages or in match reports may be held indefinitely both by us and the RFU in order to maintain a record of the game.

Whistle blowing encourages and enables any member of the club to raise serious concerns within
Paviors RFC rather than overlooking a problem.
Coaches, Managers and volunteers are often the first to realise that there is something seriously wrong within the club. However, they may not express their concerns as they feel that speaking up would be disloyal to their fellow volunteers.
Our Commitment

In line with that commitment, we expect volunteers, and others that we deal with, who have serious concerns about any aspect of discriminatory or safeguarding issues to come forward and voice those concerns.

What Types of Concern are covered?

⦁ The safeguarding of all children and vulnerable adults in relation to physical, sexual, emotional abuse or neglect.
⦁ Health and safety risks, including risks to the public as well as other employees and volunteers.

Safeguards and Victimisation
Paviors RFC recognises that the decision to report a concern can be a difficult one to make. If what you are saying is true, you should have nothing to fear because you will be acting in the best interests of the individual or club.
Paviors RFC will not tolerate any harassment or victimisation (including informal pressures) and will take appropriate action to protect you when you raise a concern in good faith.
Confidentiality
All concerns will be treated in confidence and every effort will be made not to reveal your identity if you so wish. At the appropriate time, however, you may need to come forward as a witness. This policy encourages you however to put your name to your concern whenever possible. Please note that:
⦁ You must disclose the information in good faith.
⦁ You must believe it to be substantially true.
⦁ You must not act maliciously or make false allegations.
⦁ You must not seek any personal gain.
How to Raise a Concern
As a first step, you should normally raise concerns either verbally or in writing to the Safeguarding Officers or club officials. This may depend, however, on the seriousness and sensitivity of the issues involved and who is suspected. The contact details of the Safeguarding Officer can be found displayed within the club house and on the web site. Other Club officials such as the Honorary secretary, President, Senior and Mini/Junior Chairman’s contact numbers can also be found in the club house or alternatively on the web site. Alternatively; if you report an incident or concern to the team managers, they will treat this information sensitively and in confidentiality and then pass on to the relevant official.

Paviors policy on bullying is a direct extract from the RFU policy.
PRINCIPLES
⦁ Bullying of any kind is not permitted within the Club.
⦁ The RFU/RFUW is a ‘telling’ culture and anyone who knows that bullying is happening is expected to tell the Club Welfare Officer or CB Welfare Manager.
⦁ Bullying will be taken seriously, responded to promptly, and procedures followed to deal with the situation.
⦁ It is the responsibility of every adult working in rugby union whether professional or volunteer, to ensure that all young people can enjoy the sport in a safe enjoyable environment.
WHAT IS BULLYING?
Bullying is the use of aggression with the intention of hurting another person. Bullying results in pain and distress to the victim.
Bullying
⦁ Emotional – excluding (emotionally and physically), tormenting (e.g. hiding rugby kit, threatening gestures including sending threatening text messages).
⦁ Physical – pushing, kicking, hitting, punching or any use of violence.
⦁ Racist – racial taunts, graffiti, gestures.
⦁ Sexual – unwanted physical contact or sexually abusive comments.
⦁ Homophobic – because of, or focusing on the issue of sexuality.
⦁ Verbal – name-calling, sarcasm, spreading rumours, teasing.
OBJECTIVES OF THE POLICY
⦁ All Club members, coaches, volunteers and parents should have an understanding of what bullying is.
⦁ All Club members, coaches and volunteers should know what the RFU/RFUW/Club/Constituent Body policy is on bullying, and follow it when bullying is reported.
⦁ All players and parents should know what the RFU/RFUW/Club/Constituent Body policy is on bullying, and what they should do if bullying arises.
⦁ Players and parents should be assured that they will be supported when bullying is reported
⦁ Bullying will not be tolerated.
SIGNS AND SYMPTOMS
A child may indicate by signs or behaviour that he or she is being bullied. Children and Young People have described bullying as:
⦁ Being called names.
⦁ Being teased.
⦁ Being hit, pushed, pulled, pinched, or kicked.
⦁ Having their bag, mobile or other possessions taken
⦁ Receiving abusive text messages.
⦁ Being forced to hand over money.
⦁ Being forced to do things they do not want to do.
⦁ Being ignored or left out.
⦁ Being attacked because of religion, gender, sexuality, disability, appearance or ethnic or racial origin.
OTHER SIGNS AND SYMPTOMS
A child:
⦁ Doesn't want to attend training or club activities.
⦁ Changes their usual routine.
⦁ Begins being disruptive during sessions.
⦁ Becomes withdrawn anxious or lacking in confidence.
⦁ Has possessions going missing.
⦁ Becomes aggressive, disruptive or unreasonable.
⦁ Starts stammering.
⦁ Has unexplained cuts or bruises.
⦁ Is bullying others.
⦁ Stops eating.
⦁ Is frightened to say what's wrong.
These signs and behaviours may not constitute bullying and may be symptoms of other problems. Club/Constituent members, coaches and volunteers need to be aware of these possible signs and report any concerns to the Club Welfare Officer or CB Welfare Manager.
PROCEDURES AND MANAGEMENT OF BULLYING
⦁ Report bullying incidents to the Club Welfare Officer (or CB Manager),
record (using the RFU Incident Record Form). If the incident is an adult bullying a young person, the Club Welfare Officer (or CB Manager) will report the incident to the RFU Child Protection Officer.
If the incident is a young person bullying a young person, the club will manage this, and can access advice and support from the Club Welfare Officer, CB Welfare Manager or RFU Child Protection Officer at any stage of the process.
⦁ Parents may be informed and asked to come in to a meeting to discuss the problem.
⦁ If necessary and appropriate, police will be consulted.
⦁ If mediation fails and the bullying is seen to continue the Club/CB/RFU can initiate disciplinary action under the relevant constitution.
IMPLEMENTING RFU ANTI-BULLYING POLICY
⦁ Raise Awareness
Raise awareness with all members and players within the club:
⦁ Put posters on the notice board
⦁ Ensure all young players know they can talk to someone if they are worried
⦁ Ensure that parents have a copy of the policy
⦁ Adopt the policy within the club constitution
⦁ Ensure that the Code of Conduct clearly states that behaviour which constitutes bullying will not be accepted
⦁ Ensure all coaches, staff and volunteers have signed up the code of conduct - Ensure the policy is given to members and players.
⦁ Set up a working party to support the ongoing development and implementation of the policy.
⦁ Identify any training needs within the club and contact the RFU to find out about workshops and opportunities for support.

COACHING / WORKING WITH YOUNG CHILDREN POLICY
Paviors RFC are committed to providing the very best and appropriate coaching to all. We work hard to raise the standard of rugby coaching within the club and to encourage the growth, we aim to exemplar in everything we do. To enhance this process, we follow a “logical” pathway for emerging coaches to follow. Regardless of a coaching volunteer’s playing experience, coaching is a completely different indeed. Children are not small adults and should not be treated as such! Communication and coaching styles are quite different. There is a coaching philosophy and structure that has evolved over a considerable period of time and is a tried and trusted mechanism, devised to enhance the development of coaches by improving their coaching abilities across all age groups. The RFU Code of practice 7: Minimum Standards for Coaches and Referees sets out 3 levels of practice which give us in the club a standard to work towards. There are 3 levels of practice which are laid out below;
Required Practice
DBS (those in clubs or academies MUST have an RFU Enhanced DBS)
It is mandatory that every Age Grade coach meets the Required Practice.
Standard Practice (coaches + referees)
- Completion of DBS.
- Completion and application of online Head Case training course and application (www.englandrugby.com/headcase).
- RFU UKCC Coaching / Refereeing Qualification.
- Standard Practice is that most coaches and referees will have willingly obtained a qualification.
Best Practice (coaches + referees)
- Licensed Coach / Referee (eligible to become a member of the England Rugby Coaching Association (ERCA) or English Rugby Refereeing Association (ERRA) member).
- Qualified, Active and Engaging in annual CPD, including refereeing (if relevant) Has completed the RFU Play It Safe safeguarding training, or comparable training for teachers in a school environment.
- Has completed a relevant First Aid course.
- Best Practice is what most coaches and referees should aspire to.
Age Coaching Course Qualification/CPD
The RFU provide appropriate courses which will give the coach the tools to coach at the right levels.

USE OF VIDEO/PHOTOGRAPHIC IMAGES POLICY
Paviors RFC recognises the need to ensure the welfare and safety of all young people and vulnerable adults in Rugby Union.
As part of our commitment to ensure the safety of young people we will not permit photographs, video or other images including those taken via mobile phones of young people to be taken or used without the consent of the parents/carers and the young person.
Paviors RFC will follow the RFU guidance for the use of images of young people.
Paviors RFC will take all steps to ensure these images are used solely for the purposes they are intended which is the promotion and celebration of the activities of Paviors RFC players.
If you become aware that these images are being used inappropriately you should inform the Club Safeguarding Officers – Jim McDonald or a Senior Committee member.
The images may be published on Paviors RFC Web-Site
If at any time either the parent/carer or the young person wishes the data to be removed from the website, the club Safeguarding officer should be informed.

Photographic images – including those taken by mobile telephone RFU/RFUW Best Practice Guidelines
The Rugby Football Union (RFU) and the Rugby Football Union for Women (RFUW) recognises that publicity and pictures of young people enjoying rugby are essential to promote the sport and a healthy lifestyle. To facilitate this it is therefore essential that the following principles and rules should be observed.
These Best Practice Guidelines have been developed to provide clubs, schools and Constituent Bodies with advice and guidance on the use of images of young people. It is recommended that this is adopted by clubs and Constituent Bodies and the eight golden rules outlined in these guidelines below are made available to as many people as possible. The whole policy is available at www.rfu.com.
Any change to these guidelines will be notified via the RFU/RFUW website and in any relevant publications. Please remember that the safety and enjoyment of young people is paramount in all your activities and the Best Practice Guidelines have been designed to help you in this.
The RFU/RFUW is committed to providing a safe and enjoyable environment for young people. Implicit in this is the commitment to ensure that all publications, resources and media represent participants appropriately and with due respect. By adopting the points outlined in these guidelines you will be putting in place the best possible practice to protect young people wherever photographs or recorded images are taken and stored.
The eight golden rules that will ensure compliance with the policy on photographic images are as follows:
- Ensure parents/guardian/young person have granted their consent for the taking and publication of photographic images and have signed and returned the Parent/Guardian and Young Person Permission Form. It is strongly recommended that the relevant form is incorporated into the annual club registration form and will therefore only need to be completed once a year.
- All young people must be appropriately dressed for the activity taking place.
- Photography or recording should focus on the activity rather than a particular young person and personal details which might make a young person vulnerable, such as their exact address, must never be revealed.
- Where an individual has achieved success in the game (e.g. when selected for representative side or showing triumph over adversity) permission must be gained from parent/guardian and young person to use photographs/recordings and relevant details.
- Where possible, to reflect the RFU/RFUW Equity Policy, photographs/recordings should represent the diverse range of young people participating in rugby.
- Anyone taking photographs or recording at any rugby event must have a valid reason for doing so and seek the permission of the organisers/persons in charge.
- Anyone taking photographs or recording should make themselves known to the event organisers/persons in charge and be able to identify themselves if requested during the course of the event.
- All concerns regarding inappropriate or intrusive photography should be reported in confidence to the RFU Child Protection Manager via the Rugby Club or Constituent body Welfare Manager.
